Your Data

When you create an account and enter or upload data into Boox, you retain full ownership of that data. Only you control the access to your Boox account and you retain responsibility for who has access to your account (for example, you may give access to your accountant). It is your responsibility to protect and safeguard your password and log in credentials used to access your account.

We handle your data in accordance with the UK’s Data Protection legislation and we employ the use of technologies such as data encryption, firewalls and server authentication to protect the security of your data.

3rd Parties

Boox may from time to time employ third parties to conduct research and usage activities on our website. These third parties may place a ‘cookie’ on your browser when carrying out their work; however no personal information of yours is shared.

Bank Account details and Account Transactions

In order to use Boox effectively and to reconcile your banking transactions, you will be required to enter your business bank account details (account number and sort code). You will also need to upload or manually key in your banking transactions for reconciling. This data is used for accounting and tax calculation purposes and while it’s not likely that it can be used fraudulently, we note that this information is sensitive and we are very cautious how we store it.

Usage Data

At Boox we’re consistently checking that our hardware and software has the right specifications to carry out the job required for all our clients. For this reason we might log your computer’s IP address (this is your PC’s personal identification number when connected to the internet).

This also allows us to monitor usage trends, such as when you logged in, how long you logged in for and how much data has been entered or transferred.

Your Personal Information we collect

When creating a Boox account you give us your name, contact information and other information about your company. This information is used to:

  • Verify your identity for security
  • Allow us to help you with your queries
  • Manage your billing
  • Allow you to create invoices and log expenses to create accounts
  • Add you to our Newsletter if you have chosen to receive it

Cookies

Cookies are tiny strips of data that are temporarily stored on your PC’s (or any device’s) memory when you use our website. This allows your login credentials access to the Boox service while you’re using it for that session and the cookie automatically expires after 10 minutes of inactivity.

These cookies contain no personal information. We strongly advise that you don’t use any “Remember Me” features if logging onto the service from a publicly accessible device.

Credit and Debit Card Information

When your free trial expires you will be required to enter a valid Credit or Debit card to pay for continued use of the service. This information is never stored on our system and is passed directly to our payment service provider (RBS World Pay) over an encrypted link.

Exporting Data

You can export a full copy of all your data whenever you like as a Microsoft Excel file.

Cancellation

From the date that you cancel your Boox account we will keep your data for 90 days, allowing you enough time to export/extract it. After 90 days, all your data is permanently deleted from our servers. This is irrevocable. We do keep billing records for our own accounting purposes as is required by law. After cancellation we no longer have a legal right to bill your debit/credit card.

Sharing your data with others

Boox may share your information we hold with any person, business or other organisation (including their advisers) who might take over our rights and/or responsibilities that we have under agreement with you to allow them to prepare for taking over these rights and/or responsibilities.

Boox also reserves the right to work with any law enforcement bodies in any investigation of alleged unlawful activities in using our service or relating to our website users. Boox will also carry no legal liability for these disclosures of your information.

You and your Rights

  • You have the right to unsubscribe from our email newsletter at any ime by writing to us or emailing us.
  • In order to pride you with the best possible service we require up to date accurate information about you as a customer. You should inform us whenever any personal information changes and you can request us to update any personal information by sending the correct information in writing or by emailing us.
  • At any time you have the right to receive a copy of all personal information that Boox holds about you. This can be requested in writing or by sending us an email. We may charge an administration fee of ï¿¡10 to cover our costs in providing this information.
